We’re looking for an amazing Hotel Refurbishment Coordinator to fill this role, which is based in our Seattle office. You’ll support Holland America Line, Seabourn & Princess Cruises and be responsible for providing administrative and logistical support to the Hotel Refurbishment team. This role involves coordinating travel arrangements, booking onboard cabins, and using tools like Polar to plan and anticipate project timelines (ex: when cabins will be needed for the team). The coordinator will work closely with internal accommodations, vendors, and Hotel Refurbishment team members to ensure alignment with project schedules and procedures. A key responsibility includes managing AMOS tasks such as creating purchase orders and generating work orders to support installations. The role also includes tracking project documentation, taking meeting notes, and ensuring compliance with HESS guidelines during ship refurbishments. The ideal candidate will have strong organizational skills, attention to detail, and experience with project coordination tools.

Responsibilities
Travel and Accommodation Coordination
The coordinator is responsible for managing travel logistics for the Hotel Refurbishment team, including booking flights, ground transportation, and onboard cabins. This includes working with internal accommodations to secure service cabins for both team members and external vendors. The role requires proactive planning to ensure travel aligns with project schedules and ship availability. Coordination with various departments is essential to anticipate needs and avoid last-minute disruptions. The coordinator will also support the overall team, by consolidating itineraries and resolving booking issues. Attention to detail and responsiveness are key to maintaining smooth travel operations across multiple brands.
Project Planning Support
Using tools like Polar, the Coordinator will assist the team in visualizing and scheduling refurbishment projects onboard. This includes reviewing ship schedules, identifying optimal windows for installations, and flagging potential conflicts. The role involves anticipating future project needs and helping the team align their plans accordingly. The coordinator will ensure that data is current and accurately reflects the team’s priorities. Collaboration with the Director and other team members is critical to maintain visibility across all refurbishment activities. This accountability supports strategic planning and helps the team stay ahead of operational demands.
Procurement and Work Order Management via AMOS
The coordinator will be responsible for creating and managing purchase orders and work orders in AMOS. This includes supporting the Director and team members in fulfilling procurement needs for refurbishment projects. The role requires tracking order status, resolving discrepancies, and ensuring timely delivery of materials. The coordinator will also help maintain accurate records and documentation for audit and compliance purposes. Familiarity with AMOS workflows and vendor coordination is essential. This accountability ensures that refurbishment projects are properly resourced and executed without delays.
Project Documentation and Meeting Support
This role includes capturing meeting notes, distributing updates, and maintaining project documentation. The coordinator will track progress across multiple projects and ensure that all paperwork is completed accurately and on time. This includes preparing documentation for installations and ensuring alignment with Health, Environment, Safety, and Security (HESS) guidelines and procedures. The Coordinator will serve as a central point for organizing and archiving project records. Effective communication and follow-through are essential to keep the team informed and compliant. This accountability supports transparency and operational consistency.
Team and Vendor Coordination
The coordinator will act as a liaison between the Hotel Refurbishment team and external vendors, ensuring that all parties are aligned on project timelines and deliverables. This includes coordinating onboarding logistics, communicating expectations, and resolving operational issues. The role requires building strong relationships across internal and external stakeholders to support seamless execution. The coordinator will also help enforce process adherence and escalate concerns when necessary. This accountability ensures that refurbishment efforts are collaborative and well-managed across all touchpoints.
Requirements
Associate or bachelor’s degree in business administration, hospitality, or a related field preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Familiarity with enterprise systems such as Polar (project planning) and AMOS (asset management and procurement).
Ability to communicate clearly and professionally, both verbally and in writing.
Strong organizational and time management skills with attention to detail.
Ability to work onboard ships and travel as needed to support refurbishment projects.
Demonstrated experience in administrative or project coordination roles, preferably within hospitality, maritime, or operations environments.
Experience managing logistics such as travel arrangements, accommodations, and scheduling across multiple stakeholders.
Hands-on experience using systems like Polar for project planning and AMOS for purchase order creation and work order tracking.
Proven ability to support cross-functional teams and manage documentation aligned with compliance standards such as HESS.
Experience coordinating with vendors and internal departments to ensure smooth execution of operational tasks.
Ability to anticipate project needs and proactively resolve logistical or procedural challenges.

- Base Hourly Range: $27.36 to $36.92. The range is applicable for the labor market where the role is intended to be hired. Final base salary is directly related to each candidates' qualifications and experience uniquely.
