Responsibilities include maintaining training records, processing expense reimbursements and invoices, verifying certifications, supporting Panama endorsements, monitoring compliance, and preparing training-related communications for training or Standards of Training and Certification of Watchkeeping “STCW” requirements. The Marine Certification and Compliance specialist plays a crucial role in ensuring that all training programs are effectively scheduled and managed. This includes acting as a backup for the CSMART scheduler.
Essential Functions:
- Coordinate and Schedule Training Programs: Oversee the scheduling and coordination of technical, safety, LNG, marine, and compliance training, including acting as a backup for CSMART scheduling to ensure continuity.
- Manage Training Records and Certificates: Update and maintain technical training certificates in Crew Personnel System “CPS” and ensure discharge certificates meet regulatory and company standards.
- Administer Compliance Training Programs: Serve as the primary point of contact for marine compliance training (e.g., CSMART, STCW), including planning, scheduling, and analyzing training outcomes to determine next steps.
- Review and Process Financial Transactions: Review training expense reimbursements, code and approve training-related invoices in Markview, and support invoicing processes for compliance programs.
- Support Endorsements and Certifications: Assist the team in Manila with obtaining Panama endorsements and acknowledge HESS Self-Reported Non-Conformities “SNRC” for training and certification compliance.
- Monitor and Report on Compliance: Regularly monitor compliance reports to ensure adherence to regulatory and company standards.
- Prepare and Communicate Training Updates: Draft and distribute communications regarding training programs, STCW requirements, and other relevant updates to ensure stakeholders are informed and compliant.
Qualifications:
- Bachelor’s degree required, Marine Operations, Training Administration, Business Administration, or a related field preferred.
- 3-5 years of experience in maritime training, compliance coordination, or a similar role.
- Certification in project management or training administration is a plus.
Knowledge, Skills, and Abilities:
- In-depth understanding of marine training requirements, including STCW, CSMART programs, and other industry-specific certifications preferred.
- Strong ability to manage multiple training schedules, records, and compliance reports efficiently.
- High level of accuracy in verifying certifications, processing financial transactions, and updating training records.
- Excellent verbal and written communication to prepare and distribute training updates and liaise with internal and external stakeholders.
- Capable of resolving scheduling conflicts, certification issues, and compliance discrepancies effectively.
- Ability to interpret training results, compliance reports, and certification requirements to recommend next steps.
- Ability to work cross-functionally with global teams, such as Manila support staff, to achieve training and certification goals.
- Flexible in handling changes to training schedules and compliance requirements while maintaining high-quality outcomes.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
Travel: No or very little travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
This position is classified as “in-office.” Because of the nature of the role, employees are required to work from a designated Carnival office in South Florida five days each week. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
