The Human Resources Coordinator provides critical support to the HR Director and HR Business Partner (HRBP) team, ensuring efficient execution of administrative and operational HR functions. This position is responsible for generating reports, managing job descriptions, processing HR technology requests, updating organizational hierarchies and charts, handling position code management, and ensuring the accuracy of HR system data. The HR Coordinator serves as a key resource for the HR team, helping to enhance organizational effectiveness and employee satisfaction.

Job Functions:

HR Administrative Support:

• Maintain accurate employee data in HR systems, ensuring timely updates related to new hires, terminations, transfers, and other personnel changes.

• Maintain and update job descriptions for all roles, ensuring they accurately reflect current responsibilities and requirements. Assist with auditing the job description repository periodically.

• Review and submit finalized job descriptions to the Compensation team for evaluation, ensuring all necessary details (e.g., responsibilities, qualifications, and scope) are accurately reflected and meet organizational standards.

• Respond to employee HR cases inquiries regarding HR policies, procedures, and systems, escalating complex or sensitive issues to the appropriate HRBP as needed.

HR Technology and Systems Support:

• Ensure data integrity within HR systems by conducting regular audits to ensure consistency and accuracy 

• Collaborate with HRIS teams to suggest system enhancements or troubleshoot technical issues.

• Handle HR system-related requests, ensuring timely resolution of issues or updates.

• Process HR technology requests and ensure prompt resolution of issues.

• Process and manage position code requests, ensuring accurate coding and end-dating as necessary.

Employee Lifecycle Coordination:

• Coordinate offboarding tasks, including exit interviews, final documentation, and equipment collection.

• Coordinate with HRBP team to gather necessary information for opening backfill and new requisitions, ensuring all details are complete and aligned with role requirements.

• Collaborate with the Finance department to secure position approvals, tracking progress and maintaining records of authorization.

Reporting and Data Analysis:

• Prepare and distribute regular and ad hoc HR reports to support business decisions.

• Update and maintain organizational hierarchy information in HR systems in collaboration with the HR Business Partner team.

• Create and revise organizational charts to reflect structural changes within the company

Compliance and Documentation:

• Maintain personnel files and HR records in compliance with company policies and legal standards.

• Update and maintain employee records in HR systems with accuracy and timeliness.

HR Projects and Initiatives:

• Support HR leadership with ad hoc projects and research as needed.

• Assist the HR Director and HRBPs with the implementation of HR programs and initiatives, such as engagement surveys, performance management, and recognition programs.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • 1+ years of experience in an HR administrative or coordinator role, preferably supporting specific client groups
  • Computer skills:  Strong proficiency in HRIS systems, Microsoft Office Suite (Excel, PowerPoint, Word, Visio), and data reporting tools. Oracle and Dayforce experience preferred

Physical Demands:  Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. Requires regular movement throughout CCL facilities.

Travel: No or very little travel likely

Work Conditions:  Work primarily in a climate-controlled environment with minimal safety/health hazard potential.  Weekend travel required.

This position is classified as “in-office.”  Because of the nature of the role, employees are required to work from a designated Carnival office in South Florida five days each week.  Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
