This position is responsible for managing travel logistics, handling invoicing, and contributing to process improvements. The Coordinator supports the Supervisor, Talent Booker by efficiently coordinating travel arrangements and providing comprehensive support, helping to deliver an exceptional entertainment experience for our guests.
In this role, the Coordinator books over 1,100 flights per month with Carnival’s Travel Department, requests hundreds of hotels and ground transportation from port agents around the world, and creates or requests appropriate immigration letters. The Coordinator also releases complete itineraries to entertainers, solves last-minute travel emergencies, and continually analyses processes to develop strategies for improving future results. These efforts ensure that entertainers arrive on time and ready to perform, enhancing the overall guest experience.
Essential Functions:
- Program, Operations & Innovation
- Travel Coordination: Communicate with Carnival’s Travel Department to arrange and confirm travel logistics for Guest Entertainers, including flights, hotel accommodations, and ground transportation. Develop and distribute comprehensive itineraries for entertainers to ensure they have all necessary travel details.
- Data Collaboration and Documentation: Work under the guidance of the Supervisor, Talent Booker to gather and analyse data, ensuring the guest entertainment program operates efficiently and meets established standards. Maintain and update standardized documentation, reference materials, and welcome packets for entertainers and staff.
- Administrative Support: Provide operational support to the Entertainment Experience team, which may include placing requisitions in iProcurement and collecting data from TGEM. Assist with travel arrangements, training, and onboarding tasks for shipboard Entertainment team members.
- Talent Booking Support: Assist the Supervisor, Talent Booker in managing travel logistics for a diverse roster of entertainers. Handle a significant volume of requests for hotels and transportation from port agents worldwide, particularly for special itineraries like longer voyages or equator crossings. Collaborate with the Talent Booker to address and resolve last-minute travel emergencies, ensuring timely arrival of entertainers to the ship.

- Environment: Participate in team meetings, projects and brainstorming sessions to encourage collaboration and idea sharing. Foster a positive team environment by recognizing individual contributions and promoting a culture of mutual respect and support.

- Collaborate
- Liaise with Teams: Liaise with team members, ships, agents, and other departments via email and phone with time-sensitive information such as ad hoc visa requests, same-day flight changes, last-minute cancellations, etc.
- Inter-departmental: Work with other Entertainment Experience teams to ensure alignment and consistency of shipboard guest entertainment across the fleet.
- Cross Functional: Provide HR and Guest Services with necessary guest entertainer information and assist in coordinating travel logistics, including itineraries and visas as needed.
- External: Engage with various talent agencies, expos, and emerging talent to explore potential collaboration opportunities.
- Cross-Department Training: Participate in monthly cross-department training meetings to enhance collaboration and operational success
- Program Evaluation
- Generate Reports: Utilize CPS and AirTable data to generate accurate monthly reports for hotels, transfers, and flights. Leverage these insights to streamline operations and minimize errors. Provide data-driven insights and process improvements for enhanced quality control.
- Program Effectiveness: Proactively monitor entertainer travel, ensuring on-time arrivals and resolving any issues that may disrupt schedules or show quality.
- Data Analysis: Regularly review customer feedback and data to identify trends and areas needing improvement. Share these insights with the Manager to help refine programs and enhance guest experiences. Track key metrics, guest surveys, and feedback to improve service and satisfaction.
- Comedy Club Host Training: Develop a strong and confident stage presence. Teach hosting skills such as introducing performers and handling any unexpected situations gracefully. Learn how to interact and engage an audience, including responding to hecklers and making people feel comfortable and welcomed.
- Safety & Compliance
- Safe Travel: Ensure the safety and timely arrival of all entertainers in ports of call by securing necessary visas, transfers and any other potential logistical challenges.
- Risk Management: Identify potential risks such as travel disruptions or demographic-related issues by tracking the origin of challenges.
- Immigration: Follow immigration laws and regulations of each country, effectively communicating with foreign port authorities.
- Safety Practices: Embrace safety practices and attend training programs, ensuring the highest level of guest and crew safety while maintaining operational integrity. Ensure teams are prepared to fulfill onboard safety-related duties.
- Compliance Adherence: Ensure full compliance with company policies and procedures, emphasizing safety protocols and operational standards as outlined by Global HESS (Health, Environment, Safety, and Security)and ADA guidelines.
- Financial Accountability
- Reduce Expenses: Actively seek ways to reduce travel expenses and improve cost efficiency, positively impacting the department's budget while maintaining quality travel arrangements.
- Vendor Setup: Facilitate the setup of new vendors by collecting and verifying all required documentation, including completed GSM Supplier Information forms, sample invoices with preprinted banking information.
- Invoice Processing: Input and code invoices for processing, ensuring accuracy in financial transactions. Monitor payment statuses and follow up with the Accounts Payable department to resolve any issues in a timely manner.
- Travel and Expense: Responsible for managing their own travel arrangements and expenses in accordance with Carnival Cruise Line's travel policies and procedures. This includes submitting expense reports in a timely manner. The Team Member will ensure that all travel arrangements are cost-effective and compliant.
Qualifications:
- Associates degree in Entertainment, Recreation, Tourism, Hospitality and/or Business
- 1 year in a similar role
Knowledge, Skills, and Abilities:
- Proficient in Microsoft Office 365 applications, with advanced skills in Excel, Word Power Point, and online databases is a plus.
- Travel knowledge of airlines, flight coding, flight fares, port regulations/immigration and overall travel expertise preferred.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
Travel: No or very little travel likely
Work Conditions: Work primarily in a climate controlled environment with minimal safety/health hazard potential.
This position is classified as “remote.” As a remote role, it allows employees to work full-time from their home. It may also require regular travel to Carnival headquarters in Miami, FL for in-office collaboration. Sourcing of candidates is primarily done in Carnival’s remote hubs of Orlando, Tampa, Atlanta, Houston, and Dallas. If the search is extended past those areas, candidates must be located in one of the following U.S. states: FL, GA, TX and NC
