This role involves validating and coding invoices to the appropriate general ledger accounts and cost centers, tracking fuel invoice due dates and payment approvals. The Coordinator, Fuel Performance & Decarbonization will work closely with Fuel Procurement, Ship Chief Engineers and department head to ensure accuracy of fuel payments. The ideal candidate will have understanding of invoicing processes and strong organizational skills
Job Functions:
- Independently validate fuel invoices and verify fuel pricing and quantities. Utilize the SharePoint Fuel Invoicing tool to perform a 3-way match for fuel price and delivered quantity, ensuring accuracy with the Bunker Delivery Receipt (BDR), supplier invoice, and confirmed price from Fuel Procurement. Collaborate with Marine Operations teams, both Shipboard and Shoreside, to ensure seamless operational efficiency and compliance with safety regulations, provide support and coordination across various business areas to enhance marine operational performance as it relates to fuel invvoices.
- Code fuel invoices (50 invoices per week) to the appropriate general ledger accounts and cost centres in Markview to ensure invoices are paid on time. On-time payments are critical to day-to-day operations to ensure there are no disruptions to future bunker deliveries
- Track fuel invoice due dates and payment approvals. Collaborate with fuel procurement and suppliers to investigate and resolve fuel invoice discrepancies, escalate as necessary to Sr. Director, Fuel Performance & Decarbonization. Collaborate with Ship Chief Engineers and Fuel Procurement team to ensure Letters of Protest are resolved in a timely manner
- Provide support for internal and external fuel invoice audits. This includes providing requested sample set of invoices and the supporting documents used to conduct the 3-way match during invoice processing
- Collaborate with fellow team members from the Fuel Performance & Decarbonization team to prepare Power BI based monthly reports to track vendor performance and monitor on-time payments.
Qualifications:
- Associates degree in Business Administration, Finance, Engineering, or a related field.
- Entry level 2 years in administrative role experience
Knowledge, Skills & Abilities:
- Fuel is one of the largest commodity expense for the company and therefore accurate fuel payments are extremely important. This role ensures accuracy of fuel invoice payments
- Contribution to departmental and company best practices
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.
Travel: No or very little travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
This position is classified as “in-office.” As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
