Job Description


We are seeking a Onboard Commerce Coordinator who will perform all coordination with different concessionaire and outside partners that conduct business within our ships. This includes Retail, Spa, Art, excursions and Wedding partners. Support administrative processes across the guest commerce departments, including shipboard and shoreside processes for In House categories Photo and Shore Excursions

ESSENTIAL FUNCTIONS

  • Coordinate all the needs of the retail (Starboard, Heineman, Harding, Onboard media and Effy) partners. This includes all ship visits, materials shipping, business meetings, clearance for ports and early access as well as refurbishment work
  • Coordinate all the needs of the Shore Excursion team. This includes document retention processes, ships and ports meetings and travel coordination, materials ordering and shipping, management of Tour Invoice Cost Database (ensuring that all contract information is entered into the database in a timely manner and maintenance of Tour Operator cost prices).
  • Coordinate all the needs of the Spa (Oneworld spa) partner. This includes all ship visits, materials shipping, business meetings, clearance for ports and early access as well as refurbishment work
  • Coordinate all the needs of the art (Parkwest) partner. This includes all ship visits, materials shipping, business meetings, clearance for ports and early access as well as refurbishment work
  • Work on needs to schedule and prepare weddings onboard with our wedding partners
  • Process Department expenses; process cash reimbursements via I-Expense. Liaise with Accounts Payable to process T&E, Hotel Ghost Card & P-Card Logs and serve as department “doc person"
  • Setup new employees and contractors with admin, equipment, and IT support
  • Liaise with Payroll and serve as Time Card Coordinator (TCC) for processing departmental timecards; Manage Kronos entries and keep track of PTO, Sick Days, Off-site and Free days
  • Coordinate internal meetings and external meetings with vendors, tour operator partners and/or teams. Prep meeting location, technology, presentations/agendas and meals, as required. This also includes support to annual conferences and events between shoreside and shipboard leaders
  • Liaise with Claims & Loss Prevention on obtaining records and information for Legal Holds and subpoenas along with deposition prep for Shore Excursions tours

QUALIFICATIONS

  • Bachelor’s Degree in Business Administration
  • 2+ year's experience
  • Strong intellectual skills
  • Strong Micro Soft office proficiency
  • Multi language knowledge preferred
