This position is responsible for providing administrative support to the Global Tax Department.  The main objective of the position is to ensure the administrative requirements of the function are appropriately addressed. This position will complete administrative duties for the Global Tax Department and others within the department; assignments will be varied and shifting of priorities to meet business demands of the department should be expected.     

Job Functions:

  • Provide administrative support for the department which include tax return processing and updating of payment tracker.
  • Manage the department’s service payments, including by not limited to phone services, operational services, etc.
  • Department liaison to current and potential vendors and service providers.
  • Provide project administrative assistance as required, including: Coordinating and preparing department and project budgets based input from department management.  Coordinating all document repositories regarding projects and other internal documents.  Developing project briefs and presentations as may be required.
  • Manage invoice payments and tracking for all department expenditures which includes use of MS Excel spreadsheets for recording and tracking.
  • Manage and coordinate all travel itineraries and arrangements for the the VP and his direct reports.
  • Responsible for all logistics and coordination related to department/group meetings.  These meetings may involve participants from multiple departments and Carnival Operating Companies and would include negotiating Hotel facility meeting rooms, catering, guest rooms, audio/video, Wi-Fi, etc.
  • Complete T&E statements for the VP and his direct reports and other reimbursement forms for approval.
  • Coordinate all time and attendance related functions for the department, which includes using Dayforce.
  • Act as the department coordinator for Document Retention and Management, according to the company’s policies.  Manage office supplies inventory control/purchase as needed. Assist in other office responsibilities as required (e.g. kitchen supplies ordering, etc.)

Qualifications:

  • Associates degree
  • Ability to communicate confidently at the highest levels and build effective internal and external relationships.
  • Administrative support with 3-5 years of demonstrated accomplishments.
  • Proficient in Microsoft Office Products (Outlook, Word, PowerPoint, Excel, Visio)
  • Excellent organizational awareness and proven ability to operate in a matrix environment.  Strong interpersonal and communication skills.  Prepare PowerPoint presentations as instructed.

Knowledge, Skills & Abilities:

  • Will handle/work through scheduling tasks.

Physical Demands:  Must be able to remain in a stationary position at a desk and/or computer for extended periods of time.

Travel:  Less than 25% non-shipboard travel likely

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

This position is classified as “in-office.”  As an in-office role, it requires employees to work from a designated Carnival office in South Florida Tuesday through Thursday each week. Employees may work from their homes on Mondays and Fridays.  Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
