Job Summary:

The “Onboarding Coordinator” is responsible for encoding, updating, verifying, validating and/or retrieving seafarer’s data into/from various systems and ensuring the accuracy and confidentiality of the information. Designated to work on Assignment Confirmation by working on the documents submitted online by the team members in ROSE and in TM Portal. This individual works under the direction of the CATO shoreside scheduling team to facilitate the overall pre-boarding journey of current and future crew members from an onboarding systems and documentation perspective.

Essential functions:

  • Coordinate readiness checklist evaluations and work with the scheduling team, travel team and crew directly to ensure a complete, seamless and positive experience for our crew
  • CPS data entry both manually and in working with IT support for requests that require manual backend processes or updates such as bulk entry adjustments.
  • Run reports and proactively analyze data to ensure crew readiness.
  • Contribute feedback and direction on system solutions to enhance operational procedures, resulting in leaner, speedy processes, and results.
  • Responsible for communicating to team members regarding any discrepancies on their uploaded documents.
  • Performs all duties within the scope of Key Performance Indicators (KPI) outlined by the CATO Management.
  • Coordinate and collaborate with cross-functional teams to ensure quality service

  • Responsible for reporting and communicating any discrepancy in team member record that may have a financial impact for crew inability to join as schedule.

Qualifications:

  • Bachelor's degree major in Psychology, Business Administration or any related.
  • Graduate of a 4-year degree course from any accredited college/university in a related field
  • Minimum 1 year of related professional level experience in one or more of the following functions: crewing, workforce scheduling, succession planning, HR administration and/or logistics services.
  • Has a proven ability to maintain a high degree of professionalism, flexibility high-quality customer service, effective verbal and written communications skills and teamwork to accommodate the high volume, fast-paced work environment
  • Knowledge of Microsoft office suites (Word, Excel, Access)
  • Can exercise astute judgment and follow outlined procedure with a strong attention to detail and accuracy.
  • Requires strong organizational skills.
  • Knowledgeable of immigration and visa requirements related to seafarers in various geographical areas.
  • Applies knowledge of flag and port state regulations related to visa regulations and entry documentation necessary for crew movement.
  • Ability to work outside of normal business hours as needed.
  • Have the ability to follow directives promptly and thoroughly.
  • Have the ability to take initiative and work both independently and as part of a team.
