Office Administrator is responsible for providing comprehensive administrative support to our executive team. The ideal candidate will be a skilled multitasker with excellent communication and organizational abilities, capable of handling a variety of tasks and maintaining a high level of professionalism.
ESSENTIAL DUTIES & RESPONSIBILITIES:
The Office Administrator is responsible for, but not limited to the following:
- Executive Support:
Provide high-level administrative support to the executive team, including managing schedules, organizing meetings, and handling correspondence. - Prepare and edit reports, presentations, and other documents as required.
Coordinate and manage executive travel arrangements, including booking flights, accommodations, and transportation. - Office Management:
Oversee day-to-day office operations, ensuring a well-organized and efficient work environment.
Manage office supplies and equipment, including ordering and inventory control.
Handle confidential information with discretion and maintain accurate records and files. - Meeting Coordination:
Schedule and organize meetings, conferences, and events, including arranging logistics and preparing agendas.
Take detailed minutes during meetings and distribute them to relevant parties.
Follow up on action items and ensure timely completion of tasks. - Communication:
Serve as the primary point of contact between the executive team and internal/external stakeholders.
Draft and proofread emails, reports, and other communications to ensure clarity and accuracy.
Screen and prioritize incoming communications and requests, directing them to the appropriate person or department. - Project Assistance:
Assist with special projects and initiatives as assigned by the executive team, including research, data analysis, and project coordination.
Monitor project timelines and deliverables, providing updates and status reports. - Administrative Support:
Perform general office duties such as answering phones, managing calendars, and handling mail.
Coordinate with other departments to ensure smooth operations and address any administrative needs.
Provide support for executive and department-related events and activities.
SKILLS SPECIFICS:
- Proven experience in managing executive schedules, travel arrangements, and confidential information.
- Exceptional organizational skills and attention to detail.
- Working knowledge of Canva or other graphic design programs.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently, manage multiple tasks, and handle high-pressure situations effectively.
- Strong problem-solving skills and the ability to anticipate and address needs proactively.
- Strong Microsoft office suite skills.
- Must have strong customer service skills.
- Knowledgeable in human resource field

EDUCATION & QUALIFICATIONS:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Minimum of 3-5 years of experience in an executive administrative role or similar position.
- Previous work experience preferred.
LANGUAGE REQUIREMENTS:
- Excellent communication skills, both written and verbal.
- Ability to speak English clearly, distinctly and cordially with employees and guest.
- Ability to read and write English to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, managers, and co-workers.
PHYSICAL REQUIREMENTS:
- Must be physically fit.
- Ability to work in an outdoor environment.
OTHER REQUIREMENTS:
- Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
- Work may require employees to work inside and outside with exposure to changing climate and/or operate machinery.
- Available to work weekends and holidays as needed.
- May be requested to work a different shift.
